The Process

1. Pre-event brief — We review the agenda, identify priority sessions, note sponsor placements, and plan positioning for keynote moments. Knowing when the CEO speaks versus when the panel discussion happens lets us be in the right spot at the right time.
2. Registration and early coverage — We arrive before the first guest to photograph the venue setup, signage, branded backdrops, and registration area. Early arrivals and VIP greetings are captured as they happen.
3. Session coverage — During presentations, we use the Sony 70-200mm f/2.8 GM II to capture speakers from the back of the room without distraction, then switch to the 24-70mm for wider stage shots and audience reactions. Dual-lens coverage ensures both the speaker and the audience engagement are documented simultaneously.
4. Networking and breaks — Tea breaks and lunch are where business relationships form. We capture handshakes, conversations, exhibition booth interactions, and candid moments that show the human side of the event — the content organisers value most for future marketing.
5. Speaker portraits — When schedules allow, we set up a quick portrait station using the Nanlite FS-60B for consistent, professional headshots of keynote speakers and VIPs. These images become valuable assets for both the organiser and the speakers themselves.
6. Same-day and final delivery — If opted in, 10–15 curated images are delivered same-day for social media posting. The full edited gallery follows within 5–7 business days.
